Flat Rate Bundled: "Transparent, Enough." Think Carmax

Usually, a flat rate plan is best perceived when thought of as a ceiling rate (percentage), in which case despite the true bank & card brand costs associated with a given transaction, each transaction must span the entire length of the cost basis (your “flat” rate) in order to ensure no transaction falls below the agreed upon percentage rate. In essence, the processor is bundling an average of the total costs for all incurred processing expenses built-in to one condensed average rate that’s just tall enough or rather, sufficiently profitable for servicing your account. While this may be the most convenient route for billing simplicity, it’s quite opaque in that you can’t really gather any meaningful data as to whether or not the flat rate is excessive when compared to the true costs of a given transaction or if it’s actually a good deal. Mind you, most processors never really even achieve a true flat rate since they’ll generally still charge “a different flat rate” depending upon how you took the transaction (online gateway vs. keyed vs. swiped just like other plans). Arriving at this pricing plan, you’ve likely given up hope and for the sake of simplicity by now would just rather prefer not knowing how much you’re losing. Glancing at this kind of processing summary each month can kind of feel like staring off into “no man's land” where the price point is somewhat tolerable, but only because it’s less confusing. With this setup, all you can know is that it’s supposed to be a flat rate yet nonetheless by the month’s end you’re still left wondering, “but what’s actually in it?!?” or “Could it be lower?” By the way, did you see Carmax’s most recent quarterly report? Year over year, Carmax continues to average a gross profit of about $2,151 worth of markup per every vehicle they sell. Not bad for “flat-rate pricing,” eh?

If you see terms on your processing statement like “Qualified, Non-Qualified,” or the like- Run! You’re driving the most unpredictable, multi-variable, no option-to-buy lease rental you wish you never had.   
 

This pricing plan is the most archaic, ambiguous, & arbitrary, pricing model the card processing industry ever invented. If you currently have this plan, it’s important to know that the rates that any given transaction type can “qualify” for will quite literally be based on imaginary tier rankings or “buckets” that are then coordinated (read: “shuffled”) on a whim, into their respective price points by month’s end at the discretion of your current processor. Your best bet is to unplug that glorified calculator of a wallflower swipe machine they provided & toss it in the trash, because it’s what’s keeping you tied to this shell game! Unfortunately, there isn’t anything redeemable about this pricing model whatsoever & hopefully it should go away forever, one day soon.

Interchange Plus: Most Transparent

Yet you’ll be driving from processor to processor until you find your “best rate.” If you’re lucky, you might be on this pricing plan now.     


This pricing model is what all the big box retailers have access to. Interchange plus pricing consists of a built in non-variable fixed rate of margin (%), added on top the sum total of the card brand’s network fees & bank’s interchange costs of every transaction. This processing summary is a tad bit harder to read through since every transaction’s fee details (card brands & bank’s costs) are brought to bare, but as aforementioned, it’s the only time you’ll ever get a processor to wear their heart on their sleeve as you’ll be able to see the same fixed percentage rate of markup being added atop the true final costs of any transaction you complete. It’s fairly straightforward & extremely simple in that regard as despite the nature of a transaction, the processor’s share will always show the same fixed rate of markup above the transaction’s total actual cost. Hence the name, “interchange (actual costs from card brands & banks) plus” your processor’s fixed service charge (%).

Now the important thing to note is that regardless of the pricing plan you find yourself in with your current processor, there does exist one very important underlying number that all these pricing models actually share in common! It’s the only number between them all that really truly matters and that is, your Effective Rate! Quite plainly no matter how you slice it, when you spread out your total monthly card processing fees by your practice’s total monthly collections in card volume sales, the rate we arrive at is your true effective cost (% rate) of processing all patient payments.

How Your Effective Rate, Affects Your Practice

Now that you know your effective rate, I’m about to share with you the most significant & final common denominator that each of these plans retain at their core. This is something that payment processors are rarely ever inclined to talk about and that’s this: regardless of the pricing plan, if your practice is still incurring the monthly expense of payment processing fees- you are on a “Bill Forwarding” program. Feel free to read that again. Yes, you are making more money than you think, you just don’t have access to it because of all the fees! These are the true costs of bank interchange & card brand network fees which remain universally the same forwarded costs to you, of any processor you encounter. There’s nothing worse than losing a fraction of your monthly collections to unnecessary bills, which only serve as a permanent loss of capital to your practice. See that old school “not-so-smart” card acceptance terminal sitting on the countertop at the front desk? Yeah, that’s a portable ATM machine. The only problem is most practices are so glad just to be able to successfully collect from the patient that they casually forget, every ATM transaction brings with it, its own respective convenience fees (as mentioned above). Let enough those delayed charges pile up at the end of each month and voila! You now have a monthly payment processing bill. By now it’s likely quite plain for you to see that each time a patient accessed your payment portal whether transacted online or in-person, your patient has had the privilege of walking away at the point in the transaction where the screen shows, their convenience charge. Ultimately, every time your practice eats this digital check cashing fee, you’re annually making a tax-deductible contribution to your practice on behalf of all your patients (while they occasionally get a portion of that money back from the card brands in the form of rewards points or flyer miles. Hey, where else did you think that money came from?)

Now there’s nothing wrong with being philanthropic, but as you may have heard the common heuristic when it comes to running efficient teams, “You can either have a little doing a lot (that’s you now!), or a lot doing a little.” We believe this same idea of efficiency can apply to the nature of your monthly payment processing experience.
